Position Summary:
The primary function of this role is to build our Bookkeeping department from the ground up. You will not only handle day-to-day bookkeeping for a diverse portfolio of clients using QuickBooks but also serve as the lead in designing our bookkeeping workflows within our CRM.
Secondarily, this role supports our Tax Division. As our bookkeeping volume scales, you will utilize your capacity to prepare tax returns for individuals and corporate entities (S-Corps, C-Corps, Partnerships). This is a pivotal role for a candidate who wants to “own” a department while maintaining a sharp edge in tax compliance.
Key Responsibilities:
Bookkeeping Architecture & Management (Primary Focus)
- Department Ownership: Serve as the primary point of contact and owner for all client bookkeeping engagements.
- Systems Integration: Design, implement, and document workflows for processing bookkeeping tasks within our CRM. You will define how we track client data, deadlines, and deliverables within the CRM.
- QuickBooks Setup: Manage the complete setup of new client files in QuickBooks (Online and Desktop), ensuring Charts of Accounts are customized to specific industry needs.
- Forensic & Catch-Up Bookkeeping: As a tax relief firm, many clients have years of unfiled data. You will perform complex "clean-up" work, reconstructing financial history from bank statements and raw data to prepare for tax filings.
- Routine Maintenance: Handle monthly reconciliations, Accounts Payable/Receivable, payroll recording, and general ledger maintenance
- Reporting: Generate accurate Profit & Loss statements, Balance Sheets, and custom financial reports for clients to provide visibility into their financial health.
- Advisory & Best Practices: Evaluate client financial activity and proactively recommend bookkeeping best practices, process improvements, and corrective actions. You will guide clients on what they should continue, adjust, or avoid to maintain clean, accurate financial records and ensure long-term compliance.
Tax Preparation (Secondary Focus)
- Tax Return Preparation: Prepare federal and state income tax returns for Individuals (1040), Corporations (1120, 1120-S), and Partnerships (1065) during tax season and as volume permits.
- Book-to-Tax Adjustments: Review client books to identify necessary adjusting journal entries prior to tax preparation.
Required Skills & Abilities
Education & Experience
- Bachelor’s degree in Accounting, Finance, or related field preferred.
- 2+ years of full-cycle bookkeeping experience.
- Experience in the Tax Relief or Tax Resolution industry is a strong plus.
Technical Competencies
- QuickBooks Mastery: Expert-level proficiency in QuickBooks Online is required. QuickBooks ProAdvisor certification is highly preferred.
- CRM & Systems Logic: Demonstrated experience working within Salesforce (or similar enterprise CRMs).
- Tax Proficiency: Solid understanding of small business tax fundamentals and entity structures (Schedule C, Partnerships, S Corps, C Corps). Experience with professional tax software (e.g., Lacerte, Drake, ProSeries, UltraTax) is preferred.
- Microsoft Excel & Google Sheets: Advanced proficiency, including the ability to clean large data sets (CSV imports/exports) for forensic accounting.

- English language proficiency: both verbal and written.
- Process-Oriented: You don't just do the work; you build the system that makes the work efficient. You enjoy creating Standard Operating Procedures (SOPs).
- Versatility: Comfortable switching gears between the forensic detail of reconstructing 3 years of old books and the precision of current-year corporate tax returns
- Communication: Ability to explain complex accounting concepts to clients who may be under financial stress or lack financial literacy.
- Autonomy: Capable of working independently to solve problems with minimal supervision.

Work Schedule (Onsite):
- Monday–Thursday: 9:00 AM – 6:30 PM (EST)
- Friday: 9:00 AM – 3:00 PM
- Weekends off
